Sworn translation of a foreign death certificate

When a family member dies abroad, nothing moves in Italy without a death certificate the offices can read in Italian: registration with the Comune, inheritance, bank accounts, survivor's pension. We translate it in full, annotations and apostille included, into a PDF signed and stamped by a sworn translator.

    What this translation is for

Sworn translation of a death certificate: what to know before ordering

The procedures that need a translated death certificate

    • Comune, civil registry office: registration of the death abroad of an Italian citizen, when the consulate has not already sent it. This updates the records that every later step relies on.
    • Notary or inheritance adviser: the inheritance declaration and transfers of property for assets the deceased held in Italy, such as a home or an account.
    • Banks and insurance companies: closing or releasing accounts, paying out a life policy to the beneficiaries.
    • INPS: the surviving spouse's application for a survivor's pension, or notice of the death of someone who received an Italian pension abroad.
    • Comune marriage office: a widow or widower remarrying in Italy proves their free status this way.
    • Citizenship by descent: ancestors' death certificates are part of the chain of documents, with birth and marriage certificates.

A civil registry record, not a medical certificate

Italian offices ask for the death certificate issued by the civil registry of the country where the death occurred, not the doctor's or hospital's certificate. If you only have the latter, first request the record from the local registry office, then have it apostilled or legalised. For a death in an EU country, the multilingual standard form under EU Regulation 2016/1191 can remove the need for both translation and apostille.

    What we translate

The record usually gives the deceased's details, date, time and place of death, last address, marital status, and the names of the informant and the registrar. Some countries also record the cause of death or details on burial and cremation: the translator renders them as they are, without leaving anything out. Margin notes, stamps, signatures and apostille are part of the translation. Names stay spelled as in the deceased's identity documents, if you give them in the order notes.

    Cost and timing

25 € per page; a death certificate is almost always one page, plus the apostille if it is on a separate sheet. You receive the signed and stamped PDF by email within 24-48 working hours, ready to send straight to the notary, bank or patronato. If an office wants the translation on paper, you can add delivery by post.

Mistakes to avoid in an inheritance file

    • Filing the hospital certificate instead of the civil registry record.
    • Using a record without apostille or legalisation when the country of death is not in the EU.
    • Leaving the deceased's name spelled differently from Italian documents, the codice fiscale or INPS records: banks and notaries compare the details.
    • Translating a partial copy when the office wants the complete record with annotations.

    FAQ

    Questions about this translation

Is the hospital certificate enough for an inheritance in Italy?
Usually not: notaries, banks and the Comune ask for the death certificate issued by the civil registry of the country of death, with apostille or legalisation. The medical certificate can be translated, but it rarely replaces the civil record.
The certificate states the cause of death: is it translated?
Yes. A sworn translation renders the whole document, including the cause of death when the record gives it. The translator and everyone handling the order are bound to confidentiality.
The death occurred in an EU country: is an apostille needed?
As a rule not between EU countries for civil status records, thanks to EU Regulation 2016/1191, which also provides a multilingual form. If the Comune or the notary still asks for a translation of the record, we do it within 24-48 working hours.
Is the marriage certificate also needed for a survivor's pension?
Often yes, because INPS or the patronato checks the link between the surviving spouse and the deceased. If the marriage is not registered in Italy, it makes sense to translate both certificates together.
Who can order the translation of a death certificate?
Anyone who has the document: a relative, an heir, the notary or the adviser handling the inheritance. Upload the complete scan and say in the order notes in whose name the translation should be issued.
The death certificate is in Arabic: how are names spelled?
With the spelling the deceased used on Italian documents, if you give it to us: for example on the codice fiscale or residence permit. That way banks, notary and INPS find the same person.
